BTL campaign budgets in Kerala: what drives the cost
By the Touchvane team ·
The cost of a BTL campaign in Kerala is driven mainly by promoter-days (how many people, for how many days), the number and spread of locations, materials and stalls, vehicles such as branded cars or LED trucks, permissions and space fees, and the level of supervision and reporting. Compare quotes on the same brief, line by line, rather than on the total.
Why there is no single price
Two campaigns that both say "brand activation" can differ in cost many times over. A single mall stall for a weekend and a statewide campaign with hundreds of promoters across all 14 districts are both BTL. The useful question is not "how much does BTL cost?" but "what will this campaign need?" Once the brief is clear, the cost follows from a handful of drivers.
The main cost drivers
- Promoter-days: the number of promoters multiplied by the number of days. This is usually the largest line. A 20-day campaign with 50 promoters a day, for example, is 1,000 promoter-days.
- Promoter profile: specialised staff, such as product demonstrators or bilingual promoters for a specific audience, cost more than general flyer distribution.
- Locations and spread: one city is simpler than many districts. Spreading across Kerala adds travel, local coordination and supervision.
- Stalls, branding and materials: booths, standees, uniforms, flyers, sampling cups, gifts and printed cards.
- Vehicles: branded cars, vans or LED trucks are priced by vehicle, day and route length.
- Space and permissions: mall space, supermarket counters, college permissions and local approvals can carry fees.
- Product and incentives: sampling stock, first-order gifts or cashback offers, usually supplied or funded by the brand.
- Supervision and reporting: field supervisors, attendance and GPS checks, photo reports and daily summaries.
How campaign length changes the budget
Longer campaigns cost more in total but often less per day, because recruitment, training and set-up are done once. A very short campaign carries the same set-up effort over fewer days. If the goal is awareness in a new town, a sustained two or three weeks usually works better than one large day.
Reading and comparing quotes
Ask every agency to quote on the same brief and to break the cost into lines: promoters (number, days, rate), supervision, materials, vehicles, space, travel and reporting. Then check:
- Is promoter training included, and for how long?
- How many supervisors are there for the field team, and how will attendance be verified?
- What exactly is in the daily report: photos, GPS check-ins, numbers?
- Who handles permissions, and are fees included or extra?
- What happens if a promoter does not turn up?
A cheaper quote that leaves out supervision or reporting can cost more in wasted promoter-days.
Getting more from the same budget
- Put your strongest staffing on peak days and hours instead of spreading evenly.
- Start with a pilot in a few locations, then scale the format that works.
- Combine formats: door-to-door before a launch, community activations in the final week.
- Agree measures up front so you can move budget to the best locations during the campaign.

Frequently asked questions
What is the biggest cost in a BTL campaign?
Usually promoter-days: the number of promoters multiplied by the number of days. Materials, vehicles, space fees and supervision make up most of the rest.
How do I compare BTL agency quotes?
Give every agency the same brief and ask for a line-by-line breakdown of promoters, supervision, materials, vehicles, space, travel and reporting, then compare like for like.
Can a small budget still work for BTL?
Yes, if the campaign is focused: one clear goal, fewer locations and staffing concentrated on peak days. A pilot also helps prove the format before scaling.
